Booking Fee, Payments & Cancellations

Booking Confirmation

A booking is confirmed only once Surrey Event Planners has received the required booking fee and issued written confirmation.

Booking Fee

A non-refundable booking fee of 50% of the agreed booking value is required to secure your event date. The booking fee reserves your date exclusively and covers the initial consultation, planning, design work, administration, venue liaison and other preparatory work undertaken prior to your event.

The booking fee is non-refundable in the event of cancellation by the client, except where Surrey Event Planners is legally required to provide a refund.

Balance Payment

The remaining balance must be paid no later than four (4) weeks before the event date unless an alternative payment plan has been agreed in writing.

Failure to make payments when due may result in cancellation of the booking.

Bespoke Items & Additional Services

Any bespoke items, sample stock, special orders, venue visits, additional design work or quotations requested after the original booking may incur additional charges. These costs are non-refundable once incurred.

Client Cancellation

If the client cancels the booking:

* The booking fee will be retained.
* Any bespoke items, sample stock, special orders or non-recoverable costs incurred specifically for the booking will remain payable.
* If cancellation occurs within four (4) weeks of the event date, the full outstanding balance may become payable where Surrey Event Planners is unable to mitigate its losses.

Any refund due will be calculated after deducting the booking fee and any reasonable costs already incurred.

Changes to the Booking

Any changes requested after confirmation may affect the final price and are subject to availability. Additional quotations may be issued where required, including for venue-specific installations or bespoke décor.
